Volunteer Position Description and Purpose
Henrico County Public Schools' Division of Family and Community Engagement is seeking enthusiastic, friendly, and community-minded volunteers to support our annual Back-to-School Kick-Off event. Volunteers will play a key role in creating a welcoming and engaging experience for students, families, and community members as they prepare for the new school year. This year's event will include:

Carnival-style games and activities for all ages

Live entertainment
-
Free backpacks and school supplies (while supplies last)

Opportunities to meet and talk with school leaders, teachers, and community organizations

Resources to prepare students and families for the first day of school

Vaccinations for rising seventh and 12th graders

Volunteer Duties & Responsibilities
Volunteer HQ & Check-In: Welcome arriving volunteers, distribute T-shirts and name tags, manage the volunteer break area, and ensure our crew stays hydrated and fed.
Parking Lot Monitors: Greet and welcome transportation shuttles, monitor parking lot unloading zones, and collaborate with Community School volunteers to assist vendors.
Hospitality (Setup & Breakdown): Help set up tables, chairs, and signage before the event kicks off, or assist with light breakdown toward the end of the day.
Dedicated Event Breakdown & Cleanup Crew: What you'll do: Help pack up event supplies, load equipment, and ensure the venue is left clean and tidy.
Welcome Tent: Greet families as they arrive, answer basic questions, and connect families to HCPS representatives when needed. Bi-lingual preferred
Community-School Resource Fair (Vendor Support): Act as a runner/helper to welcome community vendors, guide them to their tables, and assist them with unloading and setting up their displays.
Interactive Court Games Attendant: Explain game rules, hand out prizes, and cheer on students as they participate in various court games.
Inflatables Attendant: What you'll do: Monitor inflatable attractions to ensure safety protocols are followed and that kids play safely.
Photobooth Attendant: Monitor the photobooth station. Ensure one photo is kept for the FACE scrapbook, and the additional photo is given to the student(s) or family.
Qualifications, Skills, & Requirements
Non-HCPS staff: Volunteers must complete the Raptor Volunteer Application by August 12th. Under Section 3, School preference, select Oak Avenue Complex.
No specialized training or skills needed.

Volunteer HQ & Check-In: 2 Volunteers: 8:00 AM – 10:00 AM; 2 Volunteers: 10:00 AM – 12:00 PM
Parking Lot Monitors: 6 volunteers: 9:00 AM – 12:00 PM; 4 volunteers: 11:00 AM - 1:00 PM; 2 volunteers: 12:00 PM – 3:00 PM
Hospitality (Setup & Breakdown): 4 volunteers: 8:00 AM – 10:00 AM; 4 volunteers: 1:00 PM – 3:00 PM
Dedicated Event Breakdown & Cleanup Crew: 4 volunteers: 2:30 PM – 4:30 PM
Welcome Tent Attendant: 2 volunteers: 10:00 AM – 12:30 PM; 2 volunteers: 12:30 PM – 3:00 PM
Community-School Resource Fair (School Community Fair Support): 4 Volunteers Needed: 8:30 AM – 12:30 PM

Volunteer hours will be verified on the volunteer log. Please bring a copy for signature.

Multiple virtual orientations will be available the week of August 10. The coordinator will send dates.

Attire: Dress comfortably and monitor weather conditions for outdoor roles. Indoor roles note that the space warms up as the day progresses.

Parking information: Volunteers will park in the North and West lots.
